Privacy Policy

1. Introduction

Axtiran Group ("we", "our", or "us") operates the Vokivo: Audio Transcriber application (the "App"), available for iPhone, Apple Watch and Mac. This Privacy Policy explains what information the App handles, where it goes, and the choices you have. By using the App you agree to the practices described here.

Vokivo lets you record meetings, lectures, conversations and ideas from your iPhone or Apple Watch, then generates a transcript and optional AI summary, speaker labels, improved text or quiz.

No account is required. The App has no sign-up, no login, and never asks for your name, email address or phone number.

2. Recording Consent Notice

Important: Laws governing the recording of conversations vary by country, state, and jurisdiction. Many places require the consent of all parties being recorded before you may record them. You are solely responsible for ensuring you have obtained all necessary consents before recording any conversation using this App. Axtiran Group is not liable for any recording made without proper consent.

3. Information We Collect

We do not collect account information, because the App has no accounts. Specifically, we handle:

• Audio recordings — created by you and stored on your device only. They are uploaded to our infrastructure only for the time it takes to transcribe them, and only when you ask for a transcription (see section 5).
• Transcripts, summaries and quizzes — stored on your device only. We do not keep a copy.
• Recording metadata — title, date, duration, folders and highlights. Stored on your device only.
• Anonymous device identifier — a random identifier generated on your device and kept in the system Keychain. It is not your Apple ID, advertising identifier, phone number or hardware serial. We use it solely to enforce fair-use limits and to check that only your device can read your own transcription job.
• Usage and diagnostic data — anonymous feature and session events, plus crash reports, via Google Firebase Analytics and Crashlytics.

We do not collect payment information. Subscriptions are processed entirely by Apple under Apple's own privacy policy; we never receive your card details.

We do not sell your data, and we do not use it for advertising.

4. How We Use Your Information

• Transcribe your audio into text when you request it.
• Generate summaries, improved text and quizzes from your transcript when you request it.
• Enforce fair-use limits and the monthly allowance of your subscription plan.
• Protect the service from abuse (Apple App Check / DeviceCheck).
• Analyse anonymised usage and diagnose crashes to improve the App.
• Comply with legal obligations.

5. Audio Processing & AI Features

Everything below happens only when you actively start a transcription or an AI feature. If you never transcribe a recording, its audio never leaves your device.

• Transcription — the audio file is uploaded over an encrypted connection to Google Firebase Cloud Storage, then passed to AssemblyAI for speech-to-text, including speaker identification. As soon as the transcript is retrieved, the App deletes the audio file from our storage.
• Improve Text and Learning Quiz — your transcript text (never the audio) is sent to Google Vertex AI and processed by the Gemini model to rewrite the text or build quiz questions. The result is returned to your device and not stored by us.

We do not use your recordings or transcripts to train AI models.

6. Recording from Apple Watch

Vokivo includes an Apple Watch app so you can start, stop and highlight recordings directly from your wrist, a watch-face complication, Siri, or supported shortcuts. Audio is captured on your paired iPhone; the Watch only sends start/stop/highlight commands and never stores audio itself. The same protections described throughout this policy apply regardless of which device started the recording.

7. Meeting Audio on Mac

On Mac, the App can also capture audio played by other applications, so that both sides of a meeting or call are recorded rather than only what your microphone hears.

• This requires the macOS Screen & System Audio Recording permission, which you grant explicitly in System Settings and can withdraw at any time.
• Capture is active only while a recording is running, and stops the moment you stop the recording.
• The captured audio is mixed into your recording file on your Mac. We never view, transmit or store images of your screen — only audio is used.
• Once recorded, this audio follows exactly the same path as any other recording described in section 5: it stays local unless you choose to transcribe it.

Please note: capturing meeting audio means other participants are recorded. Obtaining their consent is your responsibility — see section 2.

8. Data Sharing

We do not sell your personal information or recordings. Data is shared only with these processors:

• AssemblyAI — receives your audio to produce a transcript. See assemblyai.com/legal/privacy-policy.
• Google (Firebase & Vertex AI) — temporary audio storage, Cloud Functions, Gemini processing of transcript text, analytics and crash reporting. See policies.google.com/privacy.
• Apple — subscription purchases and App Check attestation. See apple.com/legal/privacy.
• Legal requirements — we may disclose information if required by law or to protect user safety.

9. Data Retention

• Recordings, transcripts, summaries and quizzes — kept on your device until you delete them. Deleting the App removes them permanently. We hold no copy to restore.
• Uploaded audio — deleted from our storage immediately after the transcript is retrieved.
• Fair-use counters — a record containing your anonymous device identifier, a date and a count of transcriptions for that day.
• Transcription job ownership — a record linking a transcription job identifier to your anonymous device identifier, so that no other device can read your result.

Because there is no account, we have no way to link any of the above to you personally.

10. Your Rights & Choices

You are in direct control of your content: every recording, transcript and folder can be deleted inside the App at any time, and that deletion is immediate and permanent.

Depending on your location, you may also have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of data associated with your device identifier.
• Object to or restrict certain types of processing.
• Data portability — the App can export your transcripts as Markdown, PDF, SRT or VTT at any time.

To exercise any of these rights, email us at vokivo@axtiran.group. We will respond within 30 days. Because we hold no account data, please tell us what you need and we will explain exactly what, if anything, we can identify.

California residents have additional rights under the CCPA, including the right to know, delete, and not be discriminated against for exercising these rights.

11. Children's Privacy

Vokivo is intended for users aged 13 and older. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact us at vokivo@axtiran.group and we will delete it promptly.

12. Security

All communication with our services uses encryption in transit (TLS), and uploaded audio is encrypted at rest for the short period it exists. Requests are attested with Apple App Check so that only genuine installations of the App can call our services. Your recordings stay in the App's protected storage on your device. No method of storage is 100% secure, and we encourage you to delete recordings you no longer need.

13. International Transfers

Our processing runs in the United States (Google Cloud us-central1), and AssemblyAI processes audio on its own infrastructure. If you are located elsewhere, your data will be transferred internationally. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected in the "Last updated" date at the top of this page. Continued use of the App after changes constitutes acceptance of the updated policy.
